APPLICATION PROCEDURES
In order to effectively identify worthy proposals, we ask fund seekers to follow the Foundation’s fund application procedure in submitting their requests. Please allow sufficient time for consideration before making further inquiry. The steps for project requests are as follows:1. Letter of Inquiry: Letter of Inquiry should contain a brief description of your organization and its goals, objectives and an explanation of the intended use of the fund if approved, such as the target beneficiaries, ways of operation and promotion, expected outcome and timeline, budget and allocation of the fund. Please limit your letter to 3 pages. You may also include other supporting information that may be helpful in our review. 2. Project Overview and Proposal: If the Foundation is interested in your project, we will request a more detailed proposal that should provide the following information, where applicable:
- Organization Overview:
- Most recent annual report (if any)
- Most recent audited accounts (if any)
- Memorandum and Articles of Association
- Registration certificate showing non-profit status
- Expertise/experience in proposed project area
- Previous projects and current progress
- Biography/CV of principal members involved in the project(s)
- Background information about any collaborating institutions on the project
- Project Overview:
- Project name
- Purpose
- Geographic area
- Target beneficiaries
- Timeline, including start and finish dates
- Objectives and significance
- Amount requested and cost breakdown
- Feasibility report including 3 different scenarios for income / expenditure analysis
- Additional Information
- Your organization’s contribution(s) toward the project
- Other funding sources available for the project
- Sources of funding for recurrent operating expenses
- Building Projects (if applicable)
- Area of construction/building site/rooms
- Detailed design specifications of the building(s)/rooms(s), including 3-D drawings and artist renditions
- Gross/usable floor area of the building(s)room(s)
- Time taken to complete project
- List of furniture and equipment and estimated costs
The applicant must submit the application in writing to: Community Partner Foundation Limited – 11C On Hing Building, 1-9 On Hing Terrace, Wyndham Street, Central. The application will be referred to the Board for approval; taking about two to three months. The applicant organization will be notified of the result in writing.
3. Gift Agreement: A formal Gift Agreement between the donor and recipient outlining the mutually agreed terms and conditions of the donation will be drafted and signed by both parties. The Foundation retains the right to inspect, examine, and/or audit any physical properties, assets, works-in-progress, and/or books and records pertaining to the use of donation funds by the recipient at any time upon notice. Unless approved by the Foundation, the recipient cannot change the programme timeline or budget. The recipient will submit regular progress reports, and a detailed report within 2 months of project completion.
